Sending, links, QR codes, and how a consent flows through your practice.

What does it cost, and what happens after the 50 free consents?

Your first 50 consents are free — no credit card to start. After that it's 10 cents per consent for any capture method, with your monthly consent spend capped at $50 (unlimited doctors). If you'd like us to text the link to patients for you, SMS is 18 cents + GST each — no minimum, uncapped. No monthly fees, no contracts — you only pay for what you use.

Can my whole team use one account?

Yes — you can add as many team members as you like at no extra cost, so reception, billing, and clinicians all work from the same practice dashboard.

What are all the ways a patient can give consent?

Pick whatever suits the service: have us send a secure link straight to the patient by SMS or email (search their name, tap Send); paste a link into your own PMS SMS/email templates; scan the practice QR code on their own phone (before service); sign on a linked patient-screen tablet in your rooms — push a consent to it, or let it run the self-sign form; or capture it on paper and upload the scan. However it's captured, every consent lives in one place on your dashboard.

What is the practice QR code and what does it do?

It's a code generated for your practice, tied to a set of basic service descriptors (BSDs) you've configured from the item numbers your clinicians bill. Display or keep it at the practice for patients who want to use their own device — when scanned, it opens your practice's consent page; the patient enters their name and date of birth, then sees and signs the consent.

You can also have more than one. Configure different groups of item numbers as separate BSD sets in the Links section (during onboarding or later in Settings), and each set generates its own QR code — so you can display the right one for the right group of services.

Does the QR code work for both before and after the appointment?

Only before the appointment. Because the QR code is generic to your practice's BSDs, it can't know which item numbers were actually billed for a given service — so it can't be used for after-appointment consent.

How do we capture consent after the appointment?

There are a few ways:

  • Send it from your dashboard: search the patient, enter the item number(s) billed, then tap More → Send to patient — we text and/or email them a secure link to complete on their own device.
  • At checkout (push to a device): staff start the consent by entering the patient's details and the item number(s) billed. If you have a practice iPad or other device at reception, that consent can be pushed to it with one click so the patient signs there — as long as both devices are signed in with the same email address.
  • Paste a link into your PMS: Clinically generates unique item-number-specific links that you can save in your practice software as smart phrases or templated SMS/email messages, and send out through that channel for the patient to complete on their own device.
Are the practice links unique to each patient?

The links themselves are specific to your practice, not the patient — BSD-specific for before-appointment, and item-number-specific for after-appointment. They only become patient-specific when you drop them into your PMS SMS/email templates.

How does a link become specific to an individual patient?

Replace our placeholders in the link with your PMS's own merge fields for patient first name, surname, and date. When your practice sends the SMS/email, your PMS substitutes the real patient details, so each message carries a unique link for that patient — and they don't have to fill in those details themselves.

Which practice software (PMS) does this work with?

Any of them. Clinically doesn't need a direct integration — you paste your practice links into your PMS's SMS/email templates, so it works wherever you already message patients.

Can Clinically send the SMS or email to patients for us?

Yes, if you'd like. You can send a secure consent link straight to the patient by SMS and/or email from your dashboard — search the patient, tap Send, and choose SMS, email, or both. Prefer your own pathways? You can still paste our links into your PMS SMS/email templates instead. Either way the patient gets a secure link and enters their date of birth to open and sign it, and the completed consent is emailed back to your practice and saved to your dashboard.

Is the consent compliant with the Assignment of Benefit requirements?

Yes. Clinically is purpose-built for the Assignment of Benefit e-consent requirements, capturing the patient's assignment of their Medicare benefit to your practice for the specific bulk-billed service.

Is the consent available in other languages?

Yes — the patient form is available in 11 languages so patients can read it in their own language. The English version remains the legal record.

Where does a signed consent go?

Straight to your practice dashboard as a live record, and a copy is emailed to your practice automatically. You can also customise how the PDF's file name is structured — from fields like patient surname, given name, DOB, item number and date — so that PMSs which file incoming documents by file name can accept the emailed consent and drop it directly into the right patient's record.
